This site is operated by Motion Labs Ltd, a company registered in England and Wales. For the purposes of UK GDPR and the Data Protection Act 2018, Motion Labs Ltd is the data controller for personal data collected through this website and through our client engagements.

02 What we collect
We only collect data that's necessary to do what you've asked us to do (run an audit, respond to an enquiry, deliver a service). Specifically:
Information you give us
- Name, email address, phone number, company name and role when you fill in our contact or audit form.
- Information you tell us about your business, accounts, marketing performance and goals during a discovery call or audit.
- Anything you choose to send us by email, WhatsApp, Telegram or other channels.
Information collected automatically
- Anonymised browsing data: pages visited, time on page, device type, approximate location (country / region), referring source.
- Cookies and similar technologies — see section 05.
Information from third parties
- Publicly available data from your social platforms, website and ad accounts when running an audit (only with your permission).
03 How we use it
We use your personal data to:
- Respond to enquiries and run discovery calls or audits you've requested.
- Deliver the services you've contracted us for.
- Send you operational emails (proposals, invoices, deliverables, scheduling).
- Send you our newsletter — only if you've actively opted in.
- Improve our website and the way we explain our service.
- Comply with legal and tax obligations (HMRC, accounting, contractual records).
We don't sell your data, share it with advertisers as a product, or use it for any purpose you haven't reasonably consented to.
04 Legal basis for processing
Under UK GDPR, we rely on the following lawful bases:
- Consent — for newsletter signups and non-essential cookies.
- Contract — to deliver services you've engaged us for.
- Legitimate interest — to respond to your enquiry, run our business, and protect our website from misuse, in ways you'd reasonably expect.
- Legal obligation — to keep records required by HMRC and other regulators.
05 Cookies
This site uses a small number of cookies. None of them are used for advertising or sold to third parties.
- Essential cookies — keep the site working (e.g. remembering you've dismissed the cookie banner).
- Analytics cookies — anonymised, aggregated data on how the site is used so we can improve it. You can opt out without affecting site functionality.
You can disable cookies through your browser settings at any time. Doing so will not break this site.
06 Who we share data with
We only share your personal data with carefully selected third parties when there's a clear operational reason. These include:
- Email and CRM tools we use to manage enquiries and proposals.
- Hosting and analytics providers for the website itself.
- Payment processors and accountants to handle invoicing and tax compliance.
- Tax authorities or law enforcement if legally compelled to disclose.
All third parties operate under written agreements that meet UK GDPR standards. We never share client data publicly without explicit written consent (e.g. for case studies).
07 How long we keep it
We keep personal data only as long as we need it for the purpose it was collected, plus the period required by law:
- Enquiries that don't progress: deleted after 12 months.
- Active client records: kept for the life of the engagement plus 6 years (HMRC requirement).
- Newsletter subscribers: until you unsubscribe — every email contains a one-click unsubscribe link.
- Anonymised analytics: retained indefinitely in aggregate form.
08 Your rights
Under UK GDPR you have the right to:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct anything inaccurate.
- Erasure — ask us to delete your data (subject to legal retention requirements).
- Restriction — ask us to pause processing while a query is resolved.
- Portability — receive your data in a portable format.
- Object — object to processing based on legitimate interest, including direct marketing.
- Withdraw consent — at any time, where consent was the legal basis.
- Complain — to the Information Commissioner's Office (ICO) at ico.org.uk if you believe we've mishandled your data.
